PROJECT MANAGER

  • Full Time

    Position Location:  TX / Remote

    Job Description:

    The Project Manager works closely with all agency departments to oversee the integrated management of client projects to include project initiation, planning and execution. This individual will manage internal workflow process, resources, schedules, communication and quality assurance measures to ensure project requirements are met and delivered on time, on budget, within scope and as efficiently as possible.  This individual will oversee centralized and coordinated management of projects to enhance communication across the organization.  This individual will improve accountability, understanding of interdependent work efforts and overall increase agency profitability by ensuring client projects are managed efficiently and effectively.

    Experience:

    A Bachelor’s Degree with a minimum of 3 years project management experience in an advertising setting or related field.

    • Basic to expert understanding of all production disciplines - print, digital, broadcast and/or live events production

    • Proficient in Adobe Acrobat Professional and Google applications

    • Working knowledge of Adobe Creative Suite – InDesign, Photoshop, Illustrator, etc.

    • Experience with Workamajig and/or Trello required

    • Comfort level and ability to learn and embrace new technology and systems

    • Excellent communication skills (verbal and written)

    • Ability to summarize issues to key points and actions required

    • Ability to prioritize and multi-task

    • Highly organized and detail-oriented yet flexible and adaptable

    • Calm and focused under pressure

    Responsibilities:    

    Project Management – ability to manage multiple, multi-faceted projects at same time

    • Lead effort across cross-functional team to achieve project objectives

    • Set objectives and goals for self and team

    • Estimate project hours

    • Schedule projects/timeline creation

    • Break down work into realistic process steps

    • Responsible for ensuring agreed-upon project tasks are completed within scope, time, budget and quality constraints

    • Monitor and manage ongoing impacts to project time, cost and/or scope

    • Alert team if project strays from established scope, schedule or budget

    • Risk Planning – anticipate problems and roadblocks, engage in contingency planning and recommend solutions or alternative methods to negate risks

    Communications Management – operate as communication hub between all agency team members and resources that touch an assigned account/project

    • Key in-house contact for project progress, issues reporting and resolution

    • Facilitate progress meetings and collaboration between departments

    • Organize and lead weekly team status meeting

    • Manage and be accountable for each step in the creative development process

    • Keep real-time record of all projects

    Resource Management – provide a sense of agency capacity through tracking what

    available personnel are working on now and in the future and identify any gaps

    • Contribute to Creative Department Resource Calendar

    • Work with Creative Directors to assign teams to projects

    Standardization of Workflow – serves as agency authority on project documentation and communication

    • Owner of forms and processes to provide consistency across agency

    • Ensure completion and quality of workflow forms and adherence to internal policies and process

    • Maintain detailed record of job changes

    • Maintain organized, accurate and detailed archival of project documentation

    following all departmental and agency process and procedures

    • Develop best practices and share insights across clients

    Process Improvement – utilize cross-functional learning to develop best practices and efficiencies to seamlessly choreograph all moving parts

    • Provide insight on process improvements

    • Provide training to teammates

    • Support the development, improvement and use of all agency collaboration, tools and systems to improve process and get work done efficiently

    Agency Responsibilities

    • Contribute ideas to the betterment of agency processes- developing and participating in process initiatives to avoid redundancies and, support continuous improvement

    • Assist with new business pitches and/or new business and agency initiatives
